How to Prepare a Used Item for Sale Online: 30-Minute Checklist
Clean, test, measure and photograph a used item efficiently so buyers can understand its condition before they contact you.

Preparation does not mean making a used item look new. It means making its real condition easy to understand. Thirty focused minutes can answer many of the questions that otherwise arrive through messages, while reducing surprises during inspection or collection. Use more time for vehicles, machinery, electrical equipment or anything that needs specialist safety checks.
Minutes 0-5: identify the exact item
Find the brand, model, size, capacity or product code. Check labels on the item rather than guessing from a similar image online. Gather the accessories that are actually included: chargers, remotes, keys, manuals, fixings, cases or spare parts. Keep receipts available privately if they support age or ownership, but remove addresses, payment details and other personal information before sharing anything.
Minutes 5-10: clean without concealing condition
Remove ordinary dust and surface dirt using an appropriate method. Do not paint over damage, polish away safety markings or use filters to hide colour changes. Cleaning should help the camera show the item clearly. It should not alter the facts a buyer relies on. If stains, scratches, rust or repairs remain, include them in the photographs and description.
Minutes 10-15: test what can be tested safely
Record a useful test result
- What was tested, such as power, charging, controls, movement or connectivity.
- When it was tested and whether the result was consistent.
- Any function that could not be checked and why.
- Any fault, warning light, unusual noise or missing safety component.
Do not test dangerous, damaged or unfamiliar equipment merely to improve an advert. State that it is untested and price it accordingly. A working claim should describe what you observed, not promise future performance. Buyers should still inspect valuable items and may wish to arrange an independent check.
Minutes 15-20: measure and plan the handover
Measure dimensions that affect fit, access or transport. Furniture usually needs width, depth and height; bicycles need frame or wheel size; clothing needs the labelled size plus useful actual measurements where fit varies. Note approximate weight if it affects lifting. Decide whether the item is collection only, suitable for postage or available for delivery under clearly agreed terms.
Minutes 20-27: take an evidence-led photo set
Photographs buyers can use
- One uncluttered main image showing the complete item.
- Additional sides or angles needed to understand shape and condition.
- A readable model or specification label without exposing serial data unnecessarily.
- Every important defect at a useful distance and in focus.
- The included accessories arranged beside the item.
Minutes 27-30: write the factual core
Build the title from the item type, brand or model and one useful differentiator. In the description, state condition, test result, included items, defects and handover options. Add an evidence-based price and the correct county or locality. Avoid unrelated keywords, exaggerated claims and copied manufacturer text. A buyer should be able to decide whether the item suits them before asking the first question.
Do a final privacy and accuracy check
Look through every photograph for documents, faces, house numbers, screens, location clues or personal belongings that should not be public. Read the title against the model label, confirm the stated accessories are present and make sure the price type is correct. If the item changes after publication, update the advert rather than leaving an old description live.
